A partnership does not have to begin with a product sale. If your proposal relates to commercial air-conditioning, electrical support, controls, facilities operations or engineering delivery, a short and specific introduction is a useful first step.

Start with one email covering your company, offer and contact details
The introduction does not need to be long. Suppliers and prospective subcontractors can state what they provide in Hong Kong, the area they cover and who can answer commercial or technical questions.

- Contacts: names, roles, email addresses and phone numbers for commercial and technical queries.
- Offer: brands, product categories, service scope or specialist trade.
- Documents: company profile, product catalogue, price book, datasheets or relevant supporting evidence.
Share only what is needed to understand the proposal
Do not send identity documents, bank details, passwords, access credentials, client-confidential files or sensitive site information in the first email. If restricted documents become relevant, we will first confirm the purpose and an appropriate way to transfer them.
Product price book
Include the essential product and pricing details
Brand manufacturers, principal distributors, wholesalers and other product suppliers are welcome to submit pricing information. For a larger product range, use XLSX or CSV with one item per row; a product catalogue and datasheets can be attached separately.
Brand, model and short description
List the product category, brand, model or SKU, and a short note on its intended use.
Unit, price and typical lead time
List the unit, price, typical lead time and minimum order, where applicable.
Service price book
Describe the service and how it is priced
Specialist subcontractors, technical service providers and supporting-works teams can arrange a simple list around their usual service items.
Trade, work included and service area
List the service, main work included, service area and any important limitations.
Per item, per visit or another unit
State the pricing unit, base price, and any minimum charge or quotation-only situation.
How to submit
Send a short introduction first, then add technical or commercial detail where useful
Email is the main channel for company profiles, price books and product documents. WhatsApp is suitable for one short question before you submit. For large or restricted files, describe them first rather than sending them through a general contact channel.

Does the offer match a practical engineering need?
Product category, model, intended use, service scope and limitations are more useful than broad promotional claims.
Is there enough information for an initial comparison?
Product or service names, pricing units, prices, supply or service coverage and document links reduce avoidable follow-up questions.
Technical and commercial details still need verification
Authorisation, compliance, warranty, supply and performance cannot be assumed from a web page or brochure alone.
Any partnership terms must be agreed in writing
Quotations, orders, subcontract work, project roles, delivery and confidentiality arrangements need their own applicable terms.

Can I email a price book directly?
Yes. Introduce the company and contact person, and state whether it is a product or service price book. For a larger product list, use XLSX or CSV and attach a PDF catalogue or datasheets separately.
Does a submission automatically make us an Evolt Cool Engineering supplier?
No. A submission only introduces the company, products or collaboration proposal. It does not create supplier status, a tender invitation, a purchase commitment, work allocation or a contract. Any relevant next step is confirmed separately in writing.
How should we send an updated price book?
Email the complete replacement and briefly identify the main changes to products, services, prices or supply arrangements.
Should we send certificates, client information or bank details with the first email?
Usually not. Start with company, product, service and contact information. Do not send bank details, identity documents, passwords, client-confidential files or sensitive site records. If further evidence becomes necessary, we will first confirm the purpose and transfer method.
Can we ask a question on WhatsApp first?
Yes. WhatsApp is suitable for checking the submission direction or document type. Send the full price book, catalogue and technical documents by email so the attachments remain clear.
