Privacy Policy
This policy explains how EVOLT COOL ENGINEERING LIMITED, trading as Evolt Cool Engineering (“we”, “us” or “our”), handles personal data when you browse our website, make an engineering or quotation enquiry, or contact us about a service.
When this policy applies
This policy applies when you use evolt.com.hk, submit a website form, or contact us by phone, email or WhatsApp about an enquiry, quotation, project, repair, maintenance service or customer support. We handle personal data in accordance with Hong Kong’s Personal Data (Privacy) Ordinance (Cap. 486) and the data protection principles.
If a form, document or service carries a separate Personal Information Collection Statement, that statement applies together with this policy. Where the two describe the same collection differently, the more specific collection statement takes precedence for that collection.
Personal data we may collect
- Contact and organisation details: your name, role, company or organisation, phone number, email address and preferred contact method.
- Enquiry and premises details: the service required, premises or district, equipment type and location, issue summary, available work period, site constraints, reference numbers, and any photographs or documents you choose to provide.
- Quotation and service records: correspondence, site-visit arrangements, quotations, agreed scope, approvals, payment or transaction records, project details and after-service follow-up.
- Website and device data: IP address, browser and device type, pages viewed, referring links, interaction times, cookie or tag identifiers, and security or anti-abuse records.
A general website enquiry does not require a Hong Kong identity card number, payment-card details, system passwords, access codes or unrelated sensitive information. Please do not include these in an ordinary form, email or instant message.
How we use personal data
- To identify and answer your enquiry and understand the premises, equipment, operational impact and service required.
- To arrange a site visit, prepare a quotation, confirm scope and follow up on a project, repair, maintenance service or support request.
- To administer client relationships, contracts, payments, service records, insurance, claims, disputes and statutory records.
- To operate the website, remember language preferences, maintain security, prevent spam and diagnose faults.
- Where applicable and in line with your choices, to understand website use, measure campaign performance and improve our content.
- To meet legal requirements, respond to competent authorities and establish, exercise or protect legal rights.
If we want to use personal data for a new purpose that is not directly related to the original purpose, we will explain that purpose and obtain consent where required by law.
Personal Information Collection Statement for enquiries
We use submitted information for the enquiry-related purposes set out in section 2 and may disclose it to the classes of recipients described in section 4. Agreeing to direct marketing is not a condition of making an enquiry.
If later work genuinely requires drawings, equipment schedules, quotation documents or files that may contain confidential or personal data, we will first confirm the purpose and a more suitable transfer method. Please redact unrelated names, identity data, account information, access details and other sensitive material.
Disclosure, service providers and overseas processing
We do not sell or rent personal data. On a need-to-know and data-minimisation basis, we may disclose personal data to the following classes of recipients:
- Employees and authorised personnel responsible for enquiries, quotations, projects, finance, customer support, information technology or management.
- Website hosting, IT, email, communications, anti-spam, analytics, advertising measurement, document or data-storage providers.
- Subcontractors, suppliers, professional advisers, insurers or other project participants involved in the relevant work, limited to what is needed for the confirmed scope.
- Legal, accounting, audit or other professional advisers, and courts, law-enforcement or regulatory bodies entitled to receive the data.
- An actual or proposed transferee involved in a corporate reorganisation, merger, sale or transfer, subject to suitable confidentiality and data-protection arrangements.
Some technology or communications providers may process or store data outside Hong Kong. We take reasonably practicable contractual or other steps to limit service providers to authorised purposes and protect the data. If you choose to use an independent third-party service, that provider’s own privacy policy may also apply.
Cookies, tags and third-party services
The website may use the following technologies:
- Essential and functional technologies: to maintain pages, security settings, language preferences and basic website functions, including remembering whether you use the Chinese or English site.
- Security and anti-abuse: forms may use Google reCAPTCHA to identify automated or abusive activity. Its use is also subject to Google’s Privacy Policy and Terms of Service.
- Measurement and advertising technologies: the website may use Google Tag Manager, Google tag and Google Ads tags to understand page interactions or campaign performance. Non-essential storage and tags are handled in line with applicable consent requirements and the choices made available on the website.
- Third-party links: WhatsApp, Google Maps and other external sites process data under their own policies after you follow a link.
You can use the privacy choices made available on the website and can also block or delete cookies through your browser. Blocking essential technologies may affect language preferences, forms or other website functions.
Direct marketing
Submitting a general enquiry does not automatically place your contact details on a marketing list. We will only send direct marketing about engineering services, maintenance services, company updates or related offers after explaining the intended service categories and contact channels and obtaining your express consent.
We will not provide personal data to another person for that person’s direct marketing without separate consent. You can withdraw consent or opt out free of charge at any time. Doing so will not prevent you from making an enquiry, requesting a quotation or using an agreed service.
How long we keep personal data
- General enquiries and quotations that do not proceed are normally kept for no more than 24 months after the last substantive contact so that we can follow up and deal with related questions.
- Records connected with a transaction, contract or project are normally kept for at least seven years from the relevant transaction to meet accounting, tax, insurance, contractual and statutory record requirements.
- If a claim, dispute, investigation, legal proceeding or preservation requirement remains open, relevant information may be kept until the matter and required retention period have ended.
- Website security records, technical logs, cookies and tag data are kept according to their purpose, risk and provider settings, and are not deliberately retained longer than needed.
When the retention purpose ends, we delete, de-identify or anonymise the personal data where reasonably practicable. The 24-month period for ordinary enquiries does not shorten any record-retention period required by law or contract.
Data security and incident handling
We take reasonably practicable administrative, technical and physical security measures appropriate to the data and potential harm. These include limiting access, minimising unnecessary data, managing service providers and protecting or backing up systems where appropriate. Internet transmission and storage always carry risk, and no method can guarantee absolute security.
If we identify a personal-data incident, we gather the relevant information, contain the impact, assess the real risk of harm, document the response and, where appropriate, notify affected people and the Privacy Commissioner for Personal Data or another competent authority as soon as practicable.
Access, correction and other requests
To the extent provided by Hong Kong law, you may request access to personal data we hold and correction of inaccurate data. You may also ask about its use, withdraw direct-marketing consent or ask us to erase data that is no longer needed. Erasure requests remain subject to statutory, accounting, contractual, claims, insurance and other necessary retention duties.
To protect personal data, we may need to verify your identity and clarify the request. Please make a formal data access or correction request in writing. If the law allows a fee, we will tell you before processing the request.
Children and young people
This website is primarily for business clients, organisations and people involved in engineering work. It is not directed at children. We do not knowingly ask children to submit personal data through a general website enquiry. If we discover that we have collected a young person’s data unnecessarily, we will delete it or take other appropriate action.
Changes to this policy
We may update this policy when website functions, data uses, service providers, operations or legal requirements change. The latest version will show the current date on this page. If a change materially affects how we use personal data or the choices available to you, we will provide an appropriate additional notice.
