Do not keep restarting the unit in these situations

Not cooling or slow to cool

Record the affected zone, settings, start time and whether other rooms remain normal. Load, airflow, controls and equipment condition can all affect performance.

Water leakage or dripping

From a safe position, record where the water appears, its extent and when it happens. The source can involve drainage, condensation, ice, pipework or another service above the ceiling.

Unusual noise or vibration

A short video can show the sound, duration and stage of operation. Fan, motor, mounting and other operating conditions still need to be checked in sequence.

Repeated stopping or error code

Photograph the full display, equipment location, time and operating condition before clearing the history. A code can narrow the checks but does not identify a failed part by itself.

Weak airflow or uneven zones

Identify the weak zone, a normal comparison zone and any recent change to partitions, trading hours, occupancy or settings.

Odour, frost or ice

An ordinary odour, burning smell and suspected release carry different risks. Do not remove panels to investigate; stop the unit if there is smoke, a burning smell or an unknown gas concern.

Does an error code identify the failed part?

An error code does not identify a failed part by itself. One code can have several causes, which must be checked against the model and operating condition. Keep the full display, equipment location and timestamp so they can be reviewed with the actual equipment.

Will the first attendance always complete the repair?

The inspection will establish whether the repair can be completed during the visit. Some faults can be addressed after diagnosis; others require parts, another trade, building approval or a separate available work periods.

Does water leakage always mean the unit needs cleaning?

No. Water can come from drainage, condensation, insulation, ice, pipework or another service above the ceiling. Record the location and timing from a safe position and arrange an inspection.

Should staff restart the unit or reset a tripped breaker?

Do not repeatedly restart where protection trips, or where there is a burning smell, overheating, smoke, sparks or water near electrical equipment. Follow the site’s safety procedure; fixed electrical-installation work must be handled by the legally appropriate registered electrical contractor and worker.

What should a repair quotation include?

It should identify the asset and inspection boundary, labour and parts, access and shutdown needs, related trades, testing, reinstatement, items requiring separate assessment and the approval process for additional work. Some details can only be defined after inspection.

When should replacement be considered instead?
